Admin users can create and maintain a Restricted List which runs against user personal trading data. Any trade requests matching a security on the Restricted List will automatically be denied. Additionally, any transactions matching a security on the Restricted List without preapproval will automatically be flagged as non-compliant.
Before creating the list, choose user visibility by navigating to the "Settings" page and choosing the "Company" tab.
By default, the list will be set to not allow users to view restricted securities. To allow users to view restricted securities, toggle the button toward the right.
Users can be sent emails notifying them of changes to the restricted list under the "Notifications" tab of the settings. This setting will be off by default. To send users notification emails, toggle the button toward the right. Users will be sent a digest of changes made to the restricted list after the admin user toggles away from the page or after remaining on the page for more than 5 minutes.
To create a list, navigate to "My Company" and select "Manage Securities".
From the Restricted Securities page, the notification settings can be updated using the toggles in the right corner. A reminder email can be sent to all users listing the securities actively on the restricted list by clicking "Send Reminder". Reminders can be scheduled to go out automatically by selecting one of the dropdown options. Reminders can go out Weekly, Bi-Weekly, Monthly, or Quarterly. When an option is selected the date for the next scheduled reminder will be listed.
A specific security can be searched for using the textbox. The list can also be filtered by Active status or date range.
You have the option to import a list of securities. Click on the blue "Import Securities" to begin and a pop-up screen will appear.
Choose one of the two options from "Upload Type." Hover over the "?" icon to see what each option means.
Next, you will need to click on the blue "Download Import Template" button to download the proper template for importing securities. An XLSX file will download to your computer. You will see the column headers for the spreadsheet below. Enter in the specific information for each security and be sure to choose an option in the dropdown for "Show Reason." This will either allow users to view the reason the security has been added or will it keep it private to just admins. You can also add in information if the restricted security has been removed from the list or is scheduled to be removed on a specific date in the future.
Once you have added all of the desired securities, save the spreadsheet to your computer. You will need to click on "Choose File" and find the saved spreadsheet in your files. After uploading the sheet, you will need to click the blue "Submit" button.
To manually add an individual security to the list, click the + icon.
First, specify if it is a traditional Security or a Cryptocurrency in the "Type" box. Search for the security symbol or Coin symbol and select it. The security name will automatically be listed once a symbol is selected. Admin users have the option to create a custom security/cryptocurrency if the symbol is not in the system by adding the security symbol and then adding the security/cryptocurrency name. Please note that "Reason Added" is a required field and the security will not be added if the field is not completed. The reason added can be public or private by clicking on the "Show Reason" checkbox. Checking the box allows users to see the reason added when viewing the restricted list. To have the security automatically removed from the restricted list on a certain date, enter the date in the "Remove Security Date" field. You also have the option to add a security that only applies to a certain user group within gVue by clicking the checkbox next to the appropriate group.
Reminder emails can be sent to admin(s) when a security has been on the restricted list for a set amount of time. These reminders can be sent every 7,30, 45, 60, or 90 days or you can choose a specific date the reminder is sent by selecting Custom. Admin reminders can be set for each individual security added to the restricted list.
After clicking the "Add" button, the security will appear on the list. When viewing the securities on the Restricted List, you can sort by date added and date removed by clicking the arrows next to the respective column title.
Securities can be moved from the restricted list to the watch list, or vice versa, by clicking the double ended arrow icon. A pop-up message will appear to confirm the switch. The reason added/removed will automatically be entered to reflect the change.
To remove a security, select the blue "X" and provide a reason for removal. The removal reason can be public or private with the "Show Reason" checkbox.
The date removed and reason will display once the security is successfully removed. Once removed, any trade requests matching the security will no longer be automatically denied and any matching transactions will not be flagged as non-compliant.
To edit the record, click the blue pencil icon.
Restricted securities can also be added by sector or market cap.
